These notes are designed to help committees of voluntary groups understand their basic responsibilities. They describe procedures which can help committees to prevent problems occurring. The notes outline the responsibilities of committee members as well as the roles of officer-bearers eg chairperson, secretary, treasurer.

Also included in this guide is a set of basic Standing Orders, an agreed set of rules or regulations committees can adopt to ensure that meetings run smoothly and that people know what to expect and are treated fairly.

In answer to your queries, if the constitution does not specify how a committee member should resign you can resign verbally but should then put this in writing to confirm it. This should then be minuted.

In terms of when you can elect a Chair, again this depends on the constitution. Some organisations elect the office bearers at the AGM, some at the first committee meeting after the AGM. There should be a provision in the constitution allowing for a Chair to be elected in an emergency but I would need to see the constitution. Feel free to send me in a copy and I can look in more details.

This applies also to the query on how many years the Chairman remains elected, it depends on the constitution as each organisation is different.

Is it normal and or legal for a committee to decide that a subject must never be dicussed at a later date even when the members holding office have changed at that date?
